Use your CRM trigger in Zapier to collect lead fields plus the last 2–3 interactions; create a 1–2 sentence context summary (controls tokens), then call ChatGPT (Zapier ChatGPT app or Webhooks to the API) with a system prompt + templated user prompt. Handle rate limits by batching, using Zapier Delay/Delay After Queue and exponential backoff on failures; log retries and save the AI draft to CRM for quick human review.
